New Shortcut (Quick Access)! - Locate Your “Checked Out” Files Easily
(Available in Desktop and Web)
Love the ability to “check-out” and “lock” your Work-in-Progress files to prevent conflicting updates? While this is great to prevent accidental edits by your colleagues, we are all humans and sometimes forget to “check-in” and “unlock” those files once we are done, causing some inconveniences to others. In v11.3, users can now instantly find a list of all files “checked out” by them and easily “unlock” files that are completed.
Under the “Quick Access” tab, users can view the list of “checked out” files.
Users can “check-in” or “unlock” those files conveniently. If users require to review the files before “checking in”, they can reaccess the files by clicking on “Open Location”.
Video Preview (Streaming) without Downloading

Videos and multimedia contents have become an integral part of our digital world! As such, they are now a common type of file we frequently interact with at workplaces. These files tend to be larger than typical MS Office documents and may be sensitive in nature. As such, downloading them could be problematic when storage space is a constraint or when security threats are of concern. Hence, EasiShare is introducing the ability to preview videos without any need to download them, offering both convenience and security at the same time.
Users can now preview the video in EasiShare, by right clicking
on the video document and select “Preview”.
A video preview window will be launched and users can view
the video first without downloading them.
More OTP Delivery Options! Say “Hi 👋” to OTP via CommSwift (WhatsApp)!

Having a layer of verification via One-Time PIN (OTP) is critical for security in today’s digital landscape. In v11, EasiShare introduced the option of using Google or Microsoft authenticator for verifying external parties. Now, in v11.3, EasiShare added CommSwift, a WhatsApp messaging digital platform, to give EasiShare administrators more options when implementing OTP for security purposes into their workflow.
Admins now have the option to use Whatsapp as a means for implementing OTP.
SFTP Connection added to Storage Management

SFTP is a widely used protocol for secure file transmissions. While SFTP is highly secure, some organisations struggle with maintaining SFTP servers and SSH accounts which requires technical expertise. With v11.3, IT administrators can now connect EasiShare to SFTP server via Storage Management. This enables IT administrators to manage user access to SFTP and govern SFTP file activities more efficiently and effectively through EasiShare Admin Portal (CAWeb) with features such as Policy Management and easy to understand Audit Logs.
Admins now able to connect EasiShare to SFTP server via “Storage Management” tab.
Improvements
Optimisation of Backend SQL Scripts to Reduce Database Bottlenecks
- With more EasiShare customers having more than 6,000 users, EasiShare team reviewed and further optimized backend SQL scripts. This reduces risk of bottlenecks at database level, providing better speed performance for users.
Other Minor Fixes
- Want to hide “Shared with” details in EasiShare email notifications when sharing files? This is now configurable in v11.3.
- New setting in CAWeb to enable system-wide message to be displayed to users when using EasiShare.
